Here is the uncomfortable truth about third-party logistics: most 3PLs do the work and then fail to bill it. A receiving crew unloads a container at 7pm — never invoiced. A client's pallets sit for four months — billed from a spreadsheet someone updates from memory. A rush kitting job gets done as a favour and forgotten by month end. In an industry that runs on 3–8% margins, unbilled activities are the difference between profit and payroll stress.

What standard Odoo gives you — and where it stops

Odoo's warehouse module is genuinely strong: locations, batches, barcode operations, replenishment. But it was designed for a company managing its own stock. A 3PL needs the opposite: many clients' inventory in one warehouse, cleanly separated, with a different contract and different rates for each — and none of that exists out of the box. There is no per-client rate card, no storage billing, no client portal for placing orders, and no concept of "bill this pick to that client at their tier price."

The workflow: from client contract to clean invoice

  • 1. Onboard the client. Each client gets a contract with their rate card: receiving rates, storage method, pick and pack charges, tiers, minimums, and free days. The contract drives everything after — no rate decisions at invoice time.
  • 2. Receive against ASNs. Clients announce inbound stock through their portal. Your team receives against the ASN, and discrepancies — shortages, damage, unexpected items — are captured with photos and billed per your contract terms.
  • 3. Keep every client's stock separate. Multi-client ownership runs through every move: per-client SKU catalogues, hardened owner propagation, and clean separation even when two clients stock the same product.
  • 4. Let activities bill themselves. Every receipt, putaway, pick, pack, and dispatch generates its charge event at the moment it happens — the event-sourced billing engine is the heart of the module. Nothing waits for someone's memory.
  • 5. Bill storage the way the contract says. Four methods — anniversary, calendar, split-month, and daily proration — with free days and ageing surcharges, computed from nightly stock snapshots. Long-stay pallets stop being free.
  • 6. Take orders through the portal. Clients see live inventory, place orders, submit ASNs, and track shipments themselves — instead of emailing your team five times a day.
  • 7. Ship smart. Rate-shop carriers, reconcile carrier invoices against what you quoted, and pass shipping through with your markup — another place margin quietly leaks.
  • 8. Handle returns and VAS properly. RMAs and value-added services — kitting, labelling, bundling — run as work orders with per-step billing, so favours become line items.
  • 9. Invoice at month end in minutes. Each client's invoice assembles itself from the captured events. The revenue-leakage report shows anything done but not billed — before the invoice goes out, not after.

What management finally sees

Because charges attach to clients and activities, you finally know client-level profitability: who pays for their space, and who is a discount that got out of hand. The SLA and KPI engine tracks dock-to-stock times and order accuracy per client.
