How to run a construction business on Odoo.

Construction has a brutal accounting problem: you find out whether a project made money at the end — when nothing can be done about it. Budgets live in a BOQ spreadsheet, purchase orders happen in email, subcontractor claims arrive in every format except the right one, and retention quietly falls through the cracks on both sides. On a two-year engagement with big budgets, a few percent of leakage is a very large number.

What standard Odoo gives you — and what needs shaping

Odoo brings the raw materials: projects, purchasing, inventory, timesheets, and an accounting engine with analytic accounts that can slice every dirham by project and cost code. What it does not bring out of the box is construction discipline — BOQ-style budgets, progress claims, retention handling, and subcontractor certification flows. That is configuration and targeted custom work, and it is exactly the shaping we do. The workflow: from BOQ to final account

• 1. The project becomes a cost centre. Every project gets its budget loaded by cost code — materials, labour, subcontractors, equipment, overheads — mirroring your BOQ structure, so budget-vs-actual means something.
• 2. Procurement carries the project. Every purchase order and store issue is tagged to its project and cost code. The moment a PO is confirmed, it shows as committed cost — you see overruns forming before the invoices arrive.
• 3. Subcontractors under control. Subcontract agreements with scoped values, progress claims certified against work done, retention held automatically on every payment, and advance recovery tracked — so no subcontractor is overpaid against their certified progress.
• 4. Progress billing to the client. Payment applications generated from work completed — percentage of completion by line — with client-side retention and advance recovery handled in the document, not in someone's head.
• 5. Site costs captured where they happen. Timesheets, equipment charges, and petty site expenses post to the project daily, not reconstructed at month end.
• 6. Multi-company without chaos. Several licences, one group: inter-company transactions, shared procurement, and consolidated reporting — each entity clean for audit, the group visible for management.
• 7. VAT and corporate tax ready. UAE VAT treatment on progress billing, retention, and advances configured correctly from day one — the area where construction books most often go wrong.

What management finally sees

One screen per project: budget, committed, actual, and forecast at completion — by cost code. Work-in-progress and cash position per project. Which subcontractor is ahead of certification, which client application is overdue.
